ChatGPT for Excel is OpenAI’s own add-in, launched in beta in March 2025 and powered by GPT-5.4. It embeds directly inside your Excel workbook as a panel, not a separate browser tab, not a tool you switch to and from. It reads your data, understands how your formulas connect across sheets, and responds to plain-language instructions.
The part that separates it from every other “AI for Excel” tool I’ve seen: it doesn’t just answer questions, it builds and updates live Excel models directly in the workbook. You describe what you need, and it makes the changes. Before it touches anything, it asks for permission, so you can review each step and undo edits if needed. ChatGPT also links answers to the specific cells it references, so you can easily verify each step and revert edits if necessary, ensuring transparency and control in the editing process.
That’s a meaningful distinction. It’s not a chatbot sitting next to your spreadsheet. It’s working inside it.
What it is not: a replacement for your judgment. ChatGPT isn’t a financial or accounting advisor and isn’t a substitute for professional judgment. It can build a model structure faster than you can, but you still need to know whether the structure is right.
Installing ChatGPT For Excel
Before you read any further, check whether you have access. ChatGPT for Excel is rolling out in beta for ChatGPT Business, Enterprise, Edu, Teachers, Pro, and Plus users in the U.S., Canada, and Australia. If you’re outside those regions or on a free plan, you’ll need to wait.
To install it: go to Home, select Add-ins, search for ChatGPT, and sign in with the OpenAI account tied to your eligible plan. ChatGPT It shows up in your ribbon and opens as a panel inside your workbook. No separate window, no copy-pasting between tools.

One thing worth flagging for anyone in a corporate environment: in Enterprise, Edu, and Teacher workspaces, access is off by default. Admins can enable it for specific users with custom roles and group permissions. OpenAI If you’re trying to use this at a larger organization and it’s not showing up, that’s likely why. The conversation with IT is worth having.
A few current limitations to know going in so they don’t catch you off guard: Power Query, Pivot Tables, data validation, named ranges, slicers, and timelines are not yet supported. ChatGPT For very large workbooks, some datasets may exceed the context window and return partial results. This is a beta product — it will get better quickly, but go in with accurate expectations rather than inflated ones.

I’m going to be specific here, because “it can help you with your spreadsheets” is not useful information. After testing this against real financial data, three capabilities stand out as genuinely worth building into your workflow. Everything else is either a nice bonus or not ready yet.
Building a Financial Model From Raw Data
The workflow I tested started with a raw GL export. Six accounts, three locations, six months of actuals and budget sitting in a flat table with no structure beyond the column headers. The kind of file that lands in your inbox from the ERP system and requires 30 to 45 minutes of setup before you can do anything analytical with it.
I described what I needed in plain language: a monthly P&L by location, with Gross Profit and Operating Income rows, pulling from the accounts already in the data. ChatGPT laid out the structure before writing a single formula, which is the right sequence. It asked me to confirm the layout before it started building. That step matters — it’s the difference between getting something you can use and getting something you have to tear apart and redo.
Once I confirmed, it wrote the margin formulas and linked them to the correct rows. The whole setup took a fraction of what it would have taken manually.
Case study: I asked ChatGPT to compare actuals against budget and flag anything that looked off. It flagged Hell’s Kitchen for running $88,000 over budget on Labor. On the surface that looks like an overspend problem. It wasn’t. The budget had been set identically across all three locations — same revenue target, same cost structure, same labor assumption regardless of store size or volume. That’s not a modeling decision. That’s a placeholder that never got updated. Hell’s Kitchen didn’t overspend on labor. It had a higher-volume operation than the budget assumed, and nobody had corrected the assumption. ChatGPT surfaced that in one prompt. The conversation with the CFO shifted from defensive to strategic before it even started.
Scenario Planning Grounded in Real Volume Data
Most scenario planning I see in practice is sensitivity analysis dressed up as strategy. Someone changes a revenue growth rate from 5% to 8%, calls the high case the upside scenario, and sends it to the CFO. The problem isn’t the math. The problem is the assumption has no foundation in what’s actually happening in the business.
This is where connecting ChatGPT to transaction-level data changes the quality of the output. Instead of adjusting a growth rate, I asked it to analyze the actual volume trend from the POS data first — 149,000 transactions across six months — and tell me whether the pattern looked seasonal or structural before building any scenarios.
That question matters because the answer determines everything downstream. A seasonal lift moderates in H2. Structural growth carries forward. Those are two fundamentally different forecasts, and the right one depends on what the data actually shows.
The volume numbers were hard to ignore. Transactions went from 248,690 in January to 509,420 in June. That’s not a seasonal lift. That’s a business that nearly doubled its transaction volume in six months. ChatGPT identified that pattern, flagged it as more consistent with underlying growth than seasonality, and used it as the anchor for building three scenarios — base, upside, and downside — with the assumptions spelled out and the math visible for each one.
Case study: The output wasn’t a finished forecast. It was a starting point grounded in something real, with the logic documented well enough that I could hand it to someone else and they’d understand where the numbers came from. When I ran the same exercise using a standard growth rate adjustment, the base case came in 23% lower than the volume-anchored version. I fed ChatGPT the key findings in two sentences, named the audience, and gave it a structure: paragraph one covers what happened in H1 and why it matters, paragraph two explains the scenario assumptions and what drives the spread between them, paragraph three names what we’re watching in Q3 that will tell us which scenario we’re tracking toward. That structure is intentional. It’s what a CFO actually wants to read — past, present, forward.
The first draft was strong. The second draft was better, produced by one follow-up prompt asking it to lead with the risk rather than the watch list and keep paragraph three under 60 words. Two prompts, eight minutes total.
Case study: I ran the same narrative workflow on a budget reforecast where the original commentary had been written by a junior analyst and needed three rounds of edits before it was presentable. Using ChatGPT to generate the first draft and a single follow-up to sharpen the risk framing, the output was ready after one light edit pass. The junior analyst’s time went from drafting to reviewing — a better use of their skills and a faster output for everyone waiting on it.
A Step-by-Step Walkthrough You Can Replicate
The three prompts below are the ones I’d start with if I were running this on my own data today. I’ve written them to be transferable — meaning you can adapt them to your file without having to reverse-engineer what made them work.
Step 1 — Structure Your Data Before You Do Anything Else
ChatGPT for Excel reads what’s in front of it. If your data is clean and structured, it produces clean and structured output. If it isn’t, you’ll spend your time correcting the AI instead of using it.
Before your first session, get your data into a proper table format. That means one header row with clear, descriptive column names — Account, Month, Location, Version, Value — no merged cells, no blank rows in the middle, no totals mixed in with the detail. If your GL export comes out of the ERP with extra header rows or summary rows embedded in the data, remove them first. Ten minutes of cleanup upfront saves you from a frustrating first session.
One practical note: ChatGPT for Excel works best when it can see the full context of your data. If you’re working with a large file, open the specific sheet you want it to work with and click into that data range before you open the panel. It reads what’s active, not everything in the workbook.
Step 2 — The Prompts That Actually Produce Useful Output
The difference between a prompt that produces something useful and one that produces something generic is specificity. The more context you give it about your data and what you’re trying to accomplish, the less cleanup you do on the back end.
Here are the three prompts I’d run in sequence on a standard FP&A dataset:
For model structure: "I have GL data with columns: Account, Version, Location, Month, Year, Value. Accounts are Sales Revenue, COGS, Labor, Rent, Utilities, and Marketing. The last sentence is important. Ask it to show the structure first. It takes 30 seconds and prevents you from having to undo a build you didn’t want.
For scenario planning: "Here is transaction volume by month across all locations: [paste your numbers]. Analyze whether this pattern is seasonal or structural growth. Then build three H2 revenue scenarios — base, upside, and downside — with the volume assumption, the average transaction value assumption, and the implied revenue for each. Show your math."
Feeding it the actual numbers in the prompt gives it something concrete to reason from. “Analyze my transaction data” produces a weaker output than “here is the data, here is the question.”
For narrative: "Based on these findings: [two or three sentences summarizing what you found]. Write a three-paragraph CFO update. Paragraph one covers what happened and why it matters. Paragraph two explains the scenario assumptions and what drives the spread between them. Paragraph three names what we're watching in Q3 that will tell us which scenario we're tracking toward. Use the actual numbers."
That last instruction — use the actual numbers — is what separates a useful narrative from a generic one. Without it, you’ll get something that sounds right but could have been written about any company.
Step 3 — Edit and Direct the Output
This is the step most AI content skips, which is a problem, because the first output is almost never the deliverable.
What ChatGPT produces is a strong draft. Your job from there is to direct it toward what you actually need. That means reading the output critically — not for errors, though you should check those too — but for whether it’s making the right argument, leading with the right thing, and landing at the right level of detail for your audience.
The most useful follow-up prompt I ran in testing was a direction change on the narrative: “Rewrite paragraph three to lead with the risk, not the watch list. Make it sound like we have a plan if the downside materializes. Keep it under 60 words.”
That produced a materially better output than the first draft. Not because the first draft was wrong, but because I knew what the CFO needed to hear and the AI didn’t — until I told it.
Case Study: From Raw GL to Board-Ready Story in One Morning
This is the full arc. Not a feature highlight, not a capability list — the actual sequence of events from a Monday morning question to something presentable by afternoon.
The setup: three coffee shop locations, six months of actuals, a CFO who wants to understand the H2 outlook and whether a fourth location makes sense. Two files on my desktop — a GL export with monthly financials and a POS file with 149,000 transaction rows. No pre-built model, no existing forecast, no prior analysis to pull from.
Here is what the morning looked like.
The first 20 minutes: getting oriented.
Before I touched ChatGPT for Excel, I spent about 10 minutes looking at the raw data. This part doesn’t go away. You still need to understand what you have before you can ask good questions about it. I noted that the budget was identical across all three locations — a flag I wanted to come back to — and that revenue had been climbing sharply from March onward. Those two observations shaped every prompt that followed.
Once I had the data structured and the add-in open, I asked it to build the P&L framework. It laid out the structure, I confirmed, and it built. That part took less than five minutes.

I ran the narrative prompt, got a solid three-paragraph CFO summary, and then ran the follow-up to sharpen the risk framing in paragraph three. Two prompts, maybe eight minutes total. The output needed one round of light editing for my voice and to add a specific reference to the fourth-location question the CFO had raised. After that it was ready.
The full elapsed time from opening the files to having a formatted scenario table and a board-ready narrative: just under two hours. My honest estimate for the same work done manually, assuming no interruptions: most of a day.
That delta is not because the AI did the thinking. It’s because it eliminated the mechanical layer — the model setup, the formula writing, the first draft — so I could spend my time on the part that actually requires judgment.
Where It Falls Short (And What to Do About It)
I’ve made this tool sound useful, and I stand by that. But I’d be doing you a disservice if I skipped the limitations, so here they are without softening.
It doesn’t remember anything between sessions.
Every time you open a new conversation, ChatGPT for Excel starts cold. It has no memory of the model you built last Tuesday, the assumptions you settled on, or the context you spent 10 minutes establishing. For recurring workflows — monthly close, weekly reporting, rolling forecasts — this means you need to re-establish context every time.
The practical fix is to keep a prompt library. A short document with your standard data descriptions, your model structure, and your key context that you can paste in at the start of each session. It adds two minutes to your setup and eliminates the frustration of the AI making wrong assumptions about your data because it doesn’t know what it’s looking at.
It can be confidently wrong on complex formulas.
This one requires the most caution. ChatGPT for Excel will write a formula with the same apparent confidence whether it’s correct or whether it’s subtly broken in a way that won’t surface until your model produces a number that doesn’t look right. On straightforward calculations — margin percentages, variance math, summing across a range — it’s reliable. In complex nested formulas or multi-sheet references with conditional logic, verify everything before you build anything on top of it. Be especially vigilant with edge cases in financial modeling or Excel formulas, as AI tools may not handle these unusual or complex scenarios correctly.
The discipline here is the same one you’d apply to a junior analyst’s work: don’t assume it’s right because it looks right. Trace the logic, check the cell references, and make sure the output matches what you’d expect before you move on. Auditing outputs is critical for internal controls, compliance, and ensuring accuracy—especially when using AI-generated models and reports.
It only works with what you give it.
This sounds obvious but has real implications. If your source data has errors, inconsistencies, or gaps, ChatGPT will analyze those errors with complete confidence and hand you a polished output built on a flawed foundation. It has no way to know that your March revenue figure includes a manual journal entry that shouldn’t be there, or that your COGS line is missing two locations because the ERP export cut off early.
Garbage in, polished garbage out. The data quality work still belongs to you.
Several core Excel features aren’t supported yet.
Power Query, Pivot Tables, data validation, named ranges, slicers — none of these are available in the current beta. If your existing workflow depends heavily on any of them, you’ll hit a wall. This will change as the product matures, but right now it’s a real constraint for teams whose models are built around those tools.
The honest summary: ChatGPT for Excel is most reliable when the task is analytical and the data is clean. It is least reliable when the formulas are complex and the source data is messy. While you can rely on ChatGPT for Excel for many analytical tasks, do not rely solely on AI outputs for critical financial decisions without proper verification and review. Know the difference before you decide how much to trust the output.

If you have an H1 actuals dataset and an H2 forecast you’re working on or reviewing, run the two-prompt sequence from the walkthrough section. Feed it the actual volume or revenue trend, ask it whether the pattern looks seasonal or structural, and let it build three cases from that answer. Compare what it produces to the assumptions sitting in your current model. If they’re close, good — you have a sanity check. If they’re different, that’s a conversation worth having before the forecast goes to leadership.
Add the narrative step to your next reporting cycle.
This one has the most immediate visible impact. Before you write the executive commentary for your next report or close package, run the narrative prompt from Step 2. Give it two or three sentences of context about what you found, tell it the audience, and let it draft. Then edit. The final product will be yours — the voice, the emphasis, the judgment call about what to lead with. What you’ll skip is the blank page.
That last one is where I’d start if I’m being direct about it. The blank page problem is real, it costs finance professionals more time than they admit, and this is the capability that solves it most cleanly. Everything else in this tool builds over time as you get comfortable with it. The narrative output is useful on day one.
